Your rights

Accredited Audiologists must meet the Audiology Ethics Review Commmitte (ERC’s) Code of Conduct (available here). If you believe that our audiologists have, or may have, failed to meet the requirements regarding our conduct you should contact the ERC’s Ethics Officer at ethics@auderc.org.au or (03) 9940 3911. The Ethics Officer can also assist you with understanding the Code of Conduct, understanding your options, and forwarding your complaint to relevant entities (if relevant).

Privacy & Communication

I consent to the handling of my information by this practice for the purposes set out in the privacy policy, subject to any limitation on access or disclosure that I notify this practice of. As a reminder, to allow Hear With Me to provide you with an extraordinary health care experience, we request your consent for the following additional waivers.

  • I consent to being contacted via the phone numbers, email or postal address provided to Hear With Me to confirm appointments or to receive information relevant to my treatment, including results, invoices and receipts. We may leave you voicemail messages or emails concerning your health conditions. A selection of our calls are recorded for quality and training purposes.
  • That Hear With Me may use emails to communicate your health information and results efficiently with your treating doctors (typically ENT and GP). We prefer to use email or post where possible and may occasionally disclose similar information by phone. We try to use secure email channels (eg Argus) although this is not always possible.
  • That you allow Hear With Me to use Customer Relationship Management (CRM) software to more efficiently communicate and customise our messages to you based on your health conditions.
  • As a research and teaching clinic, that we can use your deidentified patient data and images for audiology research and communication.
  • That we can display your (never incentivised) reviews on our website. 
  • Use of some of the above technology may mean that some of your data may be held at non-Australian data centres. For an updated list of software in use, view our web site, communication and software privacy policy below. 

Payments

I acknowledge that I am personally liable for fees resulting from consultations with the audiologists at Hear With Me. I agree to pay the total invoice due on the day of my consultation.

  • Our fees are outlined via our website’s services and pricing page. As a rule, our billing rate is A$185 p/h.
  • We accept payment by cash, credit card, debit card or EFTPOS. For transparent pricing, we do not charge you transaction fees. Unfortunately, we cannot accept cheques.
  • Medicare rebates are primarily available for ENT-referred hearing assessments within three months of referral. GPs who refer eligible patients under the Team Care Arrangements can also provide patients with Medicare rebates for up to five audiology consultations in a calendar year. Please bring your referral and current Medicare card to your appointment and we will claim this for you at the end of your appointment. To access the Medicare rebate, we have to provide your GP and ENT with a report following your appointment. Medicare rebates typically vary from $14 to $50 depending on the procedure(s) involved, and can be higher for those who qualify for the Medicare Safety Net
  • While we do not normally bulk bill, we do not want financial constraints to be a barrier to your best care. Please let us know if you require a reduced rate for your appointment.
  •  There may be additional charges associated with your consultation for various treatments as recommended by your audiologist. This may include, and is not limited to, ear wax softeners, a referral to your ENT specialist, Team Care arrangements with your GP, dermatology, dental, psychology and osteopathy/physiotherapy/chiropractic reviews. Hear With Me recommends that you contact your chosen provider about associated costs. For hearing aid users, your audiologist may recommend replacing broken hearing aid parts such as hearing aid receivers, tubes, wax filters, domes or moulds during the appointment. Alternatively, your audiologist may need to send the faulty hearing aid for repair. Your audiologist will advise if additional costs are involved, the expected timeframe for repairs and when payment is due. We aim to be transparent about pricing and timeframes, so if anything is unclear – please contact us and we will clarify.

Our Location

  • We are located within a purpose-built and sound-treated audiology room at ENT Victoria on 10 Martin Street Medical suites near the Austin Hospital, The Mercy Hospital for Women, Warringal Private Hospital and Warringal Medical Centre. Our address is Suite 6.3 (Level 6), 10 Martin Street, Heidelberg.
  • Parking is available nearby. There are 2 hour paid-parking ($2.50 per hour as at Feb ’22) outside the building on Martin Street. Using the Council’s PayStay app will ensure that you can shorten or extend your parking time as needed and to pay electronically. Free 2P parking is available beyond the Darebin Street and Martin Street roundabout, which is approximately 5 to 10 minutes walk. Warringal Private Hospital also has paid parking available in their carpark on 216 Burgundy Street, Heidelberg. Pricing and other details can be found on their website. 
  • Public transport: The closest bus stop is on the corner of Burgundy Street and Martin Street is serviced by routes 513, 551 and 903. The closest train station is Heidelberg Station. Allow for a 15-minute walk. Plan your public transport journey via PTV or any reliable maps app.

Attendance

  • Please arrive at least 5 minutes before the appointment as we may need to confirm your details. As a paperless practice, we prefer to complete your form electronically and may send this to you ahead of time. If you prefer to complete this by hand, please let us know on arrival.
  • If you can no longer make an appointment,  please let us know as soon as possible by ringing 03 9002 4237 or by emailing welcome@hearwithme.com.au. Changes within 24 hours of your appointment can only be made by calling our team on 03 9002 4237. Please allow enough time for parking. We reserve the right to charge you a cancellation fee ($55 inc GST) for appointments that are cancelled with less than 24 hours notice.
  • On rare occasions, we may have to reschedule your appointment. We will contact you as early as possible should this be required to find a suitable alternative for you.

Your safety

  • Audiology appointments are generally considered to be safe. Nevertheless, your safety is paramount. Our staff are trained to minimise your risks. By choosing to attend your audiology appointment, you are aware of and assent to the following standard risks:
    • In some instances, ear wax removals, otoscopy and ear impressions can involve irritation of ear canal skin, further depeening of ear wax, dizziness, fainting, discomfort, bleeding or perforations. 
    • Tympanometry involves changing pressure in the ear drum, and can occasionally be experienced as a temporary increas in ear canal discomfort or tinnitus. Other similar ear probe procedures such as Acoustic Reflex Testing and Distortion-product Otoacoustic Emissions testing can produce similar effects in some individuals due to the higher volume levels being presented. These tests do not take longer than five minutes in total.
    • Hearing assessments involve listening to soft sounds using over the ear headphones, insert earphones or bone conductor. These devices are firmly worn and can temporarily leave minor inprints on the skin for a few minutes following testing. Moreover, the higher concentration involved during hearing assessment can be exhausting  for some persons and consequently be reported to temporarily increase tinnitus.
    • There can be emotional affects to discovering an unsuspected ear or hearing condition. We will respond empathetically and guide you through any diagnosis should this occur.
    • There are general infection risks from attending our appointments, either from our staff (e.g., a COVID-19, influenza) or from equipment. Note that our staff cannot attend if unwell, and we are thorough in cleaning procedures involving our instruments.
    • There are financial risks involved with purchasing hearing devices such as hearing aids. Hear With Me is especially designed to minimise your financial risks by providing you with clear information, good education and transparent pricing.
  • While we can provide a general overview of possible diagnoses and/or treatment options, accredited audiologists cannot provide any specific medical or sugical advice as this is out of their scope of practice.

COVID-19

We are required to follow the COVID-19 guidelines issued by the Victorian Government and this extends to our attending patients.

Audiology Interns

We occasionally have audiology students or interns on placement as a way of contributing towards improving the quality of audiology services in Australia. Your consent plays a vital role in helping to shape the knowledge and practices of future audiology professionals. Please let us know in advance or on arrival if you do not feel comfortable with a student or intern present at your appointment.

Erratum

We have written these terms and conditions to product you and us. This terms and conditions also allow us to provide you with what believe is a unique experience of audiological excellence.
